| With the rapidly expanding population, the City of McKinney Water-Utilities Department (http://ub.mckinneytexas.org ) saw a rising workload and knew its operations needed to change. Located 30 miles north of downtown Dallas, McKinney, Texas, is home to more than 100,000 residents. It is one of the fastest-growing cities in the country with almost 700 people moving there each month. Challenge The McKinney Water-Utilities Department processes more than 30,000 water bills a month. They were using four full-time employees to process the payments, which was extremely time consuming and not very efficient. Everyday, employees would manually enter every payment into their system, make a copy of each check, staple it to each remittance coupon and file it in boxes. Since there were only four employees, the department a needed a solution to simplify its process. Solution With AudioTel's RemitPlus System, McKinney Water-Utilities saw immediate results. They successfully transitioned from manual check processing to a completely automated solution. Not only can the system image checks and coupons, but it can also read and store the amount on the checks, endorse checks, and read and store any identification numbers from the coupon. After batches are balanced, the system sends data to the accounting program posting all payments and updating individual accounts. It's easy to learn and easy to use. Results Since McKinney has implemented the RemitPlus System, the city has seen a major change in the way it processes payments. "We used to have four full-time people that spent eight hours a day to process payments. After installing the AudioTel RemitPlus software, one person can do the same job in about 2 to 3 hours," said Information System Supervisor Patti Hollis. The Water-Utilities Department's research capabilities have improved greatly as well. No more digging around in boxes looking for the actual coupon. Now, just by typing in any of the information that has been captured, the system is able to bring up the image in seconds. Previous |
